Use notes for context that should stay with a lead: the decision maker’s preferences, an objection to revisit or background on the account. A concise note helps the next person understand the opportunity without rereading every activity.
Add a note
- 1Open the lead from Leads.
- 2In the activity composer, choose Note.
- 3Write the information in plain language. Include the date or source when that context matters.
- 4Save the note. It appears in the lead’s activity timeline.
A useful note is specific: “Owner wants a quote after the October store opening” gives your team a clearer next step than “follow up later”. Avoid copying a long conversation when one or two sentences preserve the decision.
Pin important context
Choose Pin to top when writing a note that should remain easy to find. Pinned notes are also shown in the pinned area of the lead page. You can unpin a note once it is no longer central to the account. Pin a durable fact or instruction, rather than every passing update.
Edit or delete an old note
Find the note in the timeline and use its edit action to correct or update the text. The note menu also lets you change its pinned state or delete it. Review the note before deleting: removal takes context away from anyone else working on the lead.
Choose the right record for the information
Use a call, email or meeting activity to record an actual interaction. Use a follow-up task for an action with a due date. A note alone does not update Last contact, so logging a call as a note can make the contact history misleading.
